Job Summary

The Procurement Coordinator plays a pivotal role in ensuring the smooth operation of our supply chain by handling purchase orders, coordinating deliveries, maintaining accurate records, and acquiring goods and services in a timely, cost-effective, and compliant manner. This individual works closely with operations, fleet personnel, suppliers, and the procurement team to achieve seamless supply chain operations.

Key Responsibilities

  • Procurement Operations:
    • Purchase Orders (PO) and Work Orders (WO) are prepared and issued in accordance with company processes.
    • Proper approvals are obtained, and purchasing activities are closed out per requirements.
    • Vessels' requirements for general stores and provisions are sourced and identified.
    • Timely and cost-effective delivery of stores and spares to vessels is coordinated with Operations and Fleet Personnel.
  • Logistics & Delivery Coordination:
    • Goods received at the company's store or office are verified for quality and quantity.
    • Items are packed and labeled appropriately, and suitable transport (land/sea) is arranged for delivery to the correct recipient.
    • Readiness of stores/spares is monitored, and delivery to vessels is planned at the earliest convenient port.
  • Supplier & Quality Management:
    • Vessel feedback regarding supplies is solicited and followed up on.
    • Non-conformities (quality, quantity, specifications) with suppliers are addressed to resolve issues and facilitate payment within agreed credit terms.
  • Administration & Documentation:
    • Accurate records are maintained in the company's electronic system.
    • Procurement function administration within the Shipping Department is supported.
    • Good housekeeping and proper inventory management of goods storage areas are ensured.
  • Team Support:
    • Purchasing-related activities are assisted by the Procurement Manager.
    • Ideas for process improvements within the department are contributed.
    • Additional duties assigned by the Procurement Manager are undertaken.

Requirements

  • Diploma or equivalent in Supply Chain, Logistics, or related field is required.
  • Experience in purchasing, procurement, or logistics is preferred (shipping/maritime industry experience an advantage).
  • Strong organizational skills and attention to detail are necessary.
  • Good communication and interpersonal skills are essential.
  • Ability to work in a fast-paced environment and meet deadlines is crucial.
  • Proficiency in Microsoft Office and procurement software is required.
