
Procurement Coordinator

This Procurement Specialist plays a pivotal role in the company's procurement process by efficiently handling purchase orders, coordinating deliveries, maintaining accurate records, and ensuring goods and services are acquired in a timely, cost-effective, and compliant manner.
- Purchasing Operations:
- The Procurement Specialist will prepare and issue Purchase Orders (PO) and Work Orders (WO) according to established procedures.
- Ensure proper approvals are obtained and purchasing activities are closed out as required.
- Source and identify requirements for vessels, including general stores and provisions.
- Coordinate with Operations and Fleet Personnel to arrange timely and cost-effective delivery of stores and spares to vessels.
- Logistics & Delivery Coordination:
- The Procurement Specialist will verify quality and quantity of goods received at the company's store or office.
- Pack and label items appropriately, and arrange suitable transport (land/sea) for delivery to the correct recipient.
- Monitor readiness of stores/spares and plan delivery to vessels at the earliest convenient port.
- Supplier & Quality Management:
- The Procurement Specialist will solicit and follow up on vessel feedback regarding supplies.
- Address non-conformities (quality, quantity, specifications) with suppliers to resolve issues and facilitate payment within agreed credit terms.
- Administration & Documentation:
- The Procurement Specialist will maintain accurate records in the company's electronic system.
- Support procurement function administration within the Shipping Department.
- Ensure good housekeeping and proper inventory management of goods storage areas.
- Team Support:
- The Procurement Specialist will assist the Procurement Manager in all purchasing-related activities.
- Contribute ideas for process improvements within the department.
- Undertake additional duties as assigned by the Procurement Manager.
- Diploma or equivalent in Supply Chain, Logistics, or related field.
- Experience in purchasing, procurement, or logistics preferred (shipping/maritime industry experience an advantage).
- Strong organizational skills and attention to detail.
- Good communication and interpersonal skills.
- Ability to work in a fast-paced environment and meet deadlines.
- Proficient in Microsoft Office and procurement software.
