We are seeking a proactive, enthusiastic, and detail-oriented Team Assistant based in Singapore to provide administrative and coordination support to teams across Hong Kong and Singapore. This role is ideal for an individual who enjoys working in a fast-paced environment, is eager to learn, and takes initiative to solve problems and improve processes. The successful candidate will support day-to-day team operations, help coordinate meetings and travel arrangements, and ensure administrative activities are executed efficiently. This role offers an excellent opportunity to gain exposure to a dynamic regional business environment and develop strong professional and organizational skills.
Key Responsibilities
Provide day-to-day administrative support to team members across Hong Kong and Singapore. Assist with scheduling meetings and managing team calendars where required. Coordinate external meetings and team events, including scheduling and logistics arrangements. Support the planning and execution of team meetings, workshops, and events. Assist in preparing meeting materials, presentations, reports, and other business documents. Support onboarding activities for new team members, including coordination of equipment, access requests, and documentation. Coordinate travel arrangements, including flights, accommodation, transportation, and travel itineraries. Support the preparation and submission of expense claims in accordance with company policies. Assist with procurement requests, invoice processing, and vendor coordination as needed. Support ad hoc projects and initiatives assigned by managers.
Qualifications & Experience
Diploma, degree, or equivalent qualification. 4-6 years of experience in administrative, team support, coordination, or related role. Ability to manage multiple priorities and work effectively in a fast-paced environment. Strong organizational skills and attention to detail. Demonstrated ability to handle confidential information with professionalism and discretion. Proficient in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams. Strong communication and articulation skills
