About Department and Purpose of the Position
The Executive Assistant/Senior Executive Assistant provides administrative support to the Executive Director (ED) and other clinicians assigned by ED of the National University Centre for Oral Health (NUCOHS), ensuring efficient management of the ED's office and facilitating smooth operations of the Centre.
Duties and Responsibilities
Primary Responsibilities and Duties (80%)
Manage ED's calendar, including scheduling meetings and appointments.
Coordinate meetings, preparing agendas, taking minutes, following up on action items, and arrange catering when necessary.
Dispatch out-going mails to other departments within the hospital, as well as to external parties. Distribute in-coming mails to the dept.
Perform typing, sorting, filing, scanning, photocopying, and recording of documents and forms. Prepare routine correspondence, reports, and presentations.
Coordinate special projects and initiatives as directed by ED. Liaise with other departments and external partners to facilitate project implementation and follow-up.
Collate and update relevant data required by the department for purposes of cost management and improvement.
Handle purchase and work requisition processes, from calling suppliers for quotation to submitting invoices to Finance for
