Overview Role summary: Reporting to the Associate Director under the COO’s Office, the Office Manager is responsible for the full spectrum of office administration functions to ensure the smooth and professional operation of the company. The role is pivotal in maintaining an organized, efficient, and collaborative work environment, supporting both day-to-day needs and long-term improvements in office operations. Key duties and responsibilities Proactively manage day-to-day facilities operations and logistics within the office premises. Supervise housekeeping staff (cleaners, vendors, etc.). Manage onsite facilities and ensure service levels are maintained. Serve as the primary contact, managing and maintaining relationships with partners, vendors and service providers. Work with building and security management to ensure office safety. Oversee office vendor procurement which includes office supplies inventory monitoring and order placing (e.g. stationery, pantry supplies, business cards, corporate devices, periodicals’ subscriptions etc). Invoice processing (Oracle). Contract review. Service maintenance of office and equipment services. Facilitate events and meetings held onsite. Manage office renovations and repairs. Facilitate communication across departments to ensure coordinated support and consistent service delivery. Office Management Administration e.g. Maintain firmwide staff listings e.g. workstations, telephones, etc. Facilitate employee onboarding/offboarding processes with internal stakeholders including workstations setup, hardware and supplies management. Support Health & Safety efforts within the office environment. Education qualification Tertiary education Experience and skills Minimum of 5–7 years of progressive administrative or office management experience Strong organisational skills and able to multi-task and prioritize effectively A strong team player, who shows initiative and problem-solving skills A desire and ability to drive continuous improvement within her scope of responsibilities Proficiency in Microsoft Office Suite #J-18808-Ljbffr
