Ward Administrator Role
We are seeking a proactive and organized professional to support our healthcare team and ensure smooth operations.
- Primary Point of Contact:
- Act as the primary point of contact for non-medical inquiries from residents' families and other stakeholders, providing timely responses and resolution to their queries.
- Coordinate appointments, including medical visits, home leave, and other activities, ensuring seamless communication with residents and their families.
- Assist in billing for services rendered to residents, maintaining accurate records and ensuring timely payments.
- Manage schedules, communicate with internal and external stakeholders, and coordinate logistics for medication collection, transport, and supply needs.
- Support nursing functions by coordinating residents' transportation for medical appointments and managing meal requests, ensuring efficient service delivery.
- Handle cancellations, raise purchase requests for household supplies and services, and maintain a record of all transactions.
- Maintain and update spreadsheets and databases using Microsoft Excel, ensuring accuracy and efficiency in data management.
- Prepare reports, summaries, and schedules as needed, providing valuable insights to healthcare professionals.
- Manage incoming calls, emails, and correspondence, ensuring prompt response to resident queries and concerns.
- Ensure compliance with healthcare regulations and privacy policies, safeguarding sensitive information and maintaining confidentiality at all times.
- Support inventory management and supply ordering, ensuring efficient stock levels and minimizing waste.
Required Qualifications:
- Proven experience as an administrative assistant or similar role within healthcare, demonstrating expertise in patient care and administrative tasks.
- Proficiency in Microsoft Excel and other Microsoft Office applications, with ability to manage complex spreadsheets and databases.
- Excellent organizational and multitasking skills, with ability to prioritize tasks and manage multiple projects simultaneously.
- Strong communication skills, both written and verbal, with ability to interact effectively with residents, families, and healthcare professionals.
- Ability to handle sensitive information confidentially, maintaining strict confidentiality and adhering to healthcare regulations.
Preferred Skills:
- Experience in nursing or medical office environment, with knowledge of patient care and administrative procedures.
- Customer service orientation and problem-solving skills, with ability to resolve issues efficiently and effectively.
- Ability to work independently and collaboratively, with flexibility to adapt to changing priorities and deadlines.
