Executive (Centre for Teaching, Learning and Technology) – National University of Singapore
The Centre for Teaching, Learning and Technology (CTLT) seeks a Junior Executive to maintain accurate records of the department’s fixed assets, handle procurement matters and provide secretarial support to the Director.
Responsibilities
Fixed Assets Management: Maintains accurate records of the department’s fixed assets and complies with NUS financial policies and guidelines, including asset tagging, system updates, asset verification, retirement and disposal
Secure data wipeout: Carries out secure data wipeout from IT equipment to be disposed of and complies with NUS IT guidelines
Asset disposal: Liaises with the vendor for disposal of assets and items
Procurement: Raises Purchase Orders and Service Requests using Ariba system for the department’s procurement
Asset IDs: Liaises with Office of Finance (Fixed Assets) for creation of Asset IDs, where applicable
Vendor coordination: Liaises with vendors for Delivery Orders, service works, invoices and performs Goods Receipt
Central Procurement Office: Liaises with Central Procurement Office for Direct Contracting, Invitation to Quote, Invitation to Tender, etc.
Secretarial Support: Provides secretarial support to Director (Instructional Technology) and managers, including scheduling of meetings, visits/events
Other administrative tasks
Webcast and Multimedia: Co-ordinates service requests for Webcast and Multimedia services
NUS Commencement Ceremonies: Supports Multimedia Team in coordination of faculty briefings and recordings
Risk and crisis management: Supports department’s risk and crisis management matters
Facilities administration: Manage office and pantry supplies and office equipment matters (door card access system, etc.)
Other duties: Any other duties assigned by management
Qualifications
Diploma holders with at least 3 years’ working experience in a similar capacity / Degree holder may apply
Good spoken and written communication skills
Well-organized, meticulous and resourceful
Effective team player with excellent interpersonal skills
Positive work attitude and able to handle tasks independently
Proficient in Microsoft Office applications
