The Operations Executive supports the Operations Director in ensuring the smooth day-to-day operations of EtonHouse's international pre-schools, primary, secondary, and high schools in Singapore. This role focuses on executing operational processes, maintaining regulatory compliance, and supporting procurement and administrative functions. The Operations Executive plays a critical role in ensuring efficiency, quality, and stakeholder satisfaction across all operational activities.
Key Responsibilities
Operations Support
Assist in the implementation and monitoring of operational policies and procedures across all schools.
Coordinate with school management teams to address operational issues, feedback, and complaints in a timely and professional manner.
Support the preparation of licensing and regulatory submissions, ensuring compliance with local authorities' requirements.
Maintain accurate records of operational activities, including audits, licenses, and certifications.
Procurement and Inventory Management
Support the procurement of goods and services for all schools
Assist in managing the procurement system
Maintain an inventory of school supplies and equipment, ensuring sufficient stock levels and cost-effectiveness.
Conduct market research to identify cost-saving opportunities and new vendors.
Administrative Functions
Prepare reports and meeting minutes for the Operations Director as required.
Monitor budgets and expenditures related to operational activities, flagging discrepancies or risks.
Coordinate with other departments, including Finance, HR, and Facilities, to streamline operations.
Support the implementation of emergency preparedness plans and risk management protocols.
Stakeholder Engagement
Liaise with school staff and external stakeholders to ensure smooth communication and address operational needs.
Act as a point of contact for external vendors, government agencies, and service providers on behalf of the Operations Director.
Other Duties
Perform any other duties as assigned by the Operations Director or management to support the organisation’s goals and priorities.
Job Requirements
Educational Background:
Diploma or Degree in Business Administration, Operations Management, or a related field.
Experience:
2–3 years of experience in an operations, administrative, or coordination role, preferably in the education or service industry.
Experience with procurement, vendor management, or regulatory compliance is an advantage.
Skills:
Strong organizational and time management skills with an eye for detail.
Excellent written and verbal communication skills for engagement with diverse stakeholders.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with procurement systems.
Ability to multitask, prioritize responsibilities, and meet tight deadlines.
