Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at HR-PRO RECRUITMENT SERVICES PTE. LTD. as a Bank Administrative Secretary. The successful candidate will provide administrative support to the General Manager and department members, ensuring seamless day-to-day operations.

Key Responsibilities
  • Administrative Support
    • Organize meetings, conference calls, and travel arrangements for the General Manager and department members
    • Record and circulate meeting minutes, and maintain accurate records
  • Expense Management
    • Support the department's expense disbursement process, including claims for staff expenses
  • Administrative Tasks
    • Support new joiner/leaver administrative work, including ID requisition/deletion and organizational chart updates
    • Manage the department's inventory of office stationery and printer supplies
  • Meeting Scheduling
    • Coordinate the scheduling of department meetings and designated reports
  • Compliance Support
    • Support the department's compliance matters with the main department Person-In-Charge
Requirements
  • Education
    • A-level / Diploma or equivalent
  • Experience
    • At least 3 years' experience in team and administration support
  • Skills
    • Meticulous with an eye for details
    • Able to multi-task and work under pressure
    • Strong communication skills (verbal & written)
    • Proficient in MS Office (Word, Excel, and PowerPoint)
    • Strong team player, able to work independently
    • Proficiency in Japanese is advantageous
