Job Title: Key Executive Support Specialist
The role of a Key Executive Support Specialist involves overseeing daily HR and administrative tasks, ensuring seamless operations. This encompasses:
- Processing work pass applications, renewals, and cancellations.
- Maintaining employee records in the HR system and filing documents accurately.
- Preparing and drafting HR contracts and letters with precision.
- Providing support during staff performance appraisals to foster growth.
- Managing staff leave records and handling medical claims efficiently.
- Coordinating training activities and submitting relevant grant proposals.
- Arranging workers' core-trade training and CET arrangements effectively.
- Liaising with government agencies to ensure compliance and adherence to regulations.
- Implementing and maintaining HR policies and procedures for operational excellence.
In addition to these responsibilities, the candidate will be involved in various administrative tasks, including:
- Managing dormitory requirements, contract renewals, and facilities management.
- Handling company vehicle-related needs, such as petrol bills and maintenance.
- Collaborating with the building management office for general facilities management.
- Ensuring timely submission of monthly bills to the accounts department.
- Booking flights and hotels for directors' overseas business visits.
To succeed in this position, the ideal candidate should possess:
- An ITE/Diploma/Degree in a related field.
- At least 2-3 years of experience in a related field.
- Proficiency in Microsoft Office Suite.
- Excellent interpersonal and communication skills.
- Good planning and coordination abilities.
- A resourceful, supportive, problem-solving, and committed approach to work.
