Executive Support Staff

About the Role:
We are seeking an experienced Executive (Support) staff to join our team at the School of Engineering, ITE College East. As an Executive (Support) staff, you will be responsible for providing administrative support to the school's daily operations.
Key Responsibilities:
- Assist in the daily operation of services, including assisting requestors to reserve facilities through the Facility Reservation System and reporting any faults found in facilities.
- Manage enquiries from various stakeholders, including students, parents, public agencies, and vendors, to allow access to the staff centre.
- Attend to students', vendors', and staffs' queries, search and reserve suitable venues for events, and cover MSO (ME/EE) duties in their absence.
- Collect and distribute items for staff and students, issue A4 paper and stationery to staff, dispatch and collect mails/documents, and inform CAS to arrange delivery of gifts/wreath.
- Assist in the distribution of certificates for Graduation Ceremony and other ad-hoc duties/requests.
Requirements:
- At least 2 years of relevant work experience.
- Good interpersonal and communication skills (both written and spoken).
- Self-motivated, self-disciplined with a positive attitude.
- Meticulous with financial matters, procurement, and inventory.
- Good time management and strong multi-tasking skills.
- Technology savvy and proficiency in Microsoft Office Suite.
- Candidate must be a good team player who is process/detail-oriented and organized.
