Key Responsibilities
  • Assist the Marine Logistics Manager in day-to-day operations and functions, including:
  • Coordinating sea staff engagement and deployment on/off vessels.
  • Identifying and recommending sea staff for specific deployment and promotions.
  • Briefing sea staff on SEMS matters, charterers' requirements, and unique trade and port requirements.
  • Controlling and monitoring vessels' daily activities.
  • Managing and monitoring budgets relevant to the Operations Department.
  • Maintaining and controlling Company SEMS, Port, and Charterers' requirements in conjunction with the QHSSE Department.
  • Arranging and deploying sea staff for in-house training and external approved short courses.
  • Conducting annual Vessel Operation Inspection Audits as assigned by the Manager in conjunction with the DPA.
  • Participating in the shore Emergency Response Team for relevant vessels.
  • Investigating incidents as appointed by the Marine Logistics Manager or as required by the Designated Person Ashore.
  • Completing necessary formalities and documentary requirements with Flag State, Port Authorities, Immigration, and Customs for sea staff signing on/off vessels.
  • Maintaining an efficient filing system for the Operations Department.
  • Sourcing and appointing agencies with approval from the Marine Logistics Manager.
  • Contacting ex-seafarers for redeployment.
  • Sourcing new seafarers and arranging interviews with department heads.
  • Verifying seafarers' certificates, including medical check-ups as per Charterers' requirements.
  • Verifying seafarers' certificate authenticity with relevant authorities and applying for Flag State licenses.
  • Maintaining up-to-date seafarers' personnel files and monitoring certificate and document expirations.
  • Updating crew planning/rotation lists and crew lists.
  • Ensuring crew appraisal assessments are conducted, signed, and filed.
  • Extending crew entry passes and ship landing passes with Singapore Immigration authorities.
  • Declaring immigration clearances and outward port clearances.
  • Updating crew articles, including sign-on/off via MPA Marinet.
Requirements
  • Diploma in Logistics Supply Chain Management or Business Studies.
  • 3-5 years of working experience in Marine lubricant logistics supply operations.
  • Knowledge of Port operations and shipping & transport coordination.
  • Skills in Excel worksheet planning, scheduling, and Marine deliveries to vessels.
Working Conditions
  • 5.25 working days per week, with potential for overtime and weekend/holiday work.
  • May work in a stuffy, noisy, and dusty environment.
  • Occasional travel outside of Singapore may be required.
  • Mandatory wearing of appropriate PPE when on duty.
