Job Title: Skincare Industry Support Specialist

About the Role

We are seeking a highly skilled and organized secretary to join our team in the Cosmetics & Skincare Industry. The successful candidate will be responsible for providing administrative support, ensuring seamless communication, and contributing to the success of our business.

Key Responsibilities
  • Prepare and disseminate correspondence, memos, and forms in a timely manner.
  • Support and facilitate the completion of regular reports and submissions, including registration of new products and product forecasts.
  • Communicate effectively with HQ and liaise with Japanese speaking counterparts.
  • Manage calendars, schedule appointments, meetings, and events efficiently.
  • Take accurate meeting minutes and maintain records.
  • Translate written or spoken material into Japanese language while maintaining context and meaning.
  • Perform other ad hoc tasks as requested by management.
Requirements
  • Minimum Diploma in Business, Administrative Studies, or equivalent.
  • At least 2-3 years of relevant secretary experience or related experience.
  • Proficiency in Japanese language for document translation/interpretation and liaison with Japan HQ and Japanese speaking counterparts.
  • Able to communicate in Mandarin for liaison with Mandarin speaking clients and stakeholders.
  • Proficiency in MS Office.
