Job Description

As a key member of our operations team, the Fulfillment Coordinator/Executive plays a pivotal role in ensuring seamless rewards fulfillment management. The primary objective is to provide exceptional support to the Fulfillment Manager and contribute towards achieving financial goals and departmental growth.

Key Responsibilities:
  • Fulfillment Operations & Client Program Management (60%):
    • Manage all aspects of rewards delivery to clients and program participants
    • Nurture strong relationships with vendors (internal and external) to ensure smooth operations
    • Conduct regular reviews with vendors on price, availability, and stock levels
    • Handle product-related issues arising from redemptions, including lost rewards, Proof of Delivery (POD), incorrect rewards, and irregular orders
    • Source new vendors when required and manage insurance with reward vendors (if applicable)
    • Organize and update product image libraries and manage client and vendor inquiries
    • Ensure timely resolution of product process issues and manage monthly outstanding purchase order listings
    • Design and implement product marketing specials and seasonal offers
    • Rewards Communications: Reply to program support emails and manage client inquiries
    • Perform general administration duties related to rewards management
    • Collaborate with Account Managers to develop and market products to clients
    • Build and maintain ongoing relationships to create opportunities for MCI's services
    • Provide exceptional service to internal and external clients
    • Assist other Performance Improvement and Corporate Division teams as needed
  • Rewards Financial Management (20%):
    • SOURCE, NEGOTIATE BEST RATES OF VARIOUS EXCITING REWARD ITEMS, DELIVERY, AND INSURANCE
    • Meet and exceed revenue targets
  • Administration & Project Management (20%):
    • Manage program communications, including content, design, and implementation (e.g., EDM broadcasts, collateral production, and distribution)
    • Prepare program reports and support activities review and validation processes
    • Process program information and data completion on system tools
    • Create, maintain, and update program participant records
    • Send acknowledgement of customer emails, letters, and online ordering
    • Support client billing and vendor payments
    • Support business plans and proposals upon request
    • Manage operational elements of given clients' projects (e.g., points-based web platforms, communications collaterals, rewards fulfillment, incentive trips)
    • Support research on opportunities to implement MCI Performance Improvement services
