Aesthetic Clinic Operations Manager Job Description

Overview:

We are seeking an experienced Aesthetic Clinic Operations Manager to lead our team.

Main Responsibilities:

  • Oversee day-to-day clinic operations, including front desk, consultation scheduling, treatment rooms, and inventory management.
  • Implement and maintain Standard Operating Procedures (SOPs) to ensure consistency and compliance with regulatory requirements.
  • Manage vendor relationships for medical supplies, skincare products, and equipment servicing.

Financial & Business Performance:

  • Monitor and drive clinic revenue growth and profitability.
  • Prepare monthly sales, financial, and operational reports for review.
  • Manage clinic budget and expense tracking.

Sales & Customer Experience:

  • Lead the sales process, including treatment package promotion and customer engagement.
  • Ensure high service standards and resolve customer complaints professionally.
  • Develop customer loyalty and referral programs to enhance client retention.

People Management:

  • Lead, motivate, and coach clinic staff (doctors, therapists, nurses, front desk).
  • Manage staff scheduling, payroll submissions, and performance evaluations.
  • Recruit, train, and develop employees to deliver quality service and meet sales targets.

Compliance & Safety:

  • Ensure compliance with regulatory guidelines, data protection, and health & safety standards.
  • Maintain accurate patient records in line with confidentiality requirements.
  • Conduct regular audits on hygiene, infection control, and treatment protocols.

Qualifications & Skills:

  • Degree in Business Administration, Nursing, or related field (healthcare management preferred).
  • At least 3–5 years of management experience in an aesthetic, medical, wellness, or hospitality setting.
  • Strong leadership, interpersonal, and communication skills.
  • Proven sales and business development track record.
  • Familiarity with regulatory requirements and aesthetic procedures.
  • Proficient in clinic management software and MS Office.

  • Clinic revenue growth & profitability.
  • Customer satisfaction & repeat business rate.
  • Staff performance & retention.
  • Compliance with regulatory and clinical standards.
  • Operational efficiency (e.g., cost control, appointment utilization rate).
