As a key member of our team, you will play a vital role in the management and administration of our vehicle leasing operations. The Administration Officer, Private Leasing position is responsible for ensuring seamless daily operations, efficient contract management, and effective communication with stakeholders.

Job Description

The successful candidate will be responsible for generating and managing rental agreements, supporting contract extensions and terminations, and submitting daily reports to relevant departments. This will involve:

  • Creating and updating rental agreements using fleet management systems to ensure compliance with company policies and procedures.
  • Providing support for contract extensions, rental terminations, and system updates, including rental rate changes and vehicle number changes.
  • Preparing and submitting daily reports on vehicle contract status, daily summaries, and day-end status to relevant departments.
  • Updating live booking lists, vehicle listings, and daily car movement records to ensure accurate and up-to-date information.
  • Coordinating with Fleet Managers (FMs) to obtain driver details, log cards, insurance documentation, and other necessary paperwork.
  • Assisting with Vehicle Entry Permit (VEP) applications, litigation checks, and blacklist verifications.
  • Handling customer communications regarding vehicle delivery and collection, as well as processing accident reports and insurance claims.
  • Preparing letters for customers and internal stakeholders, including season parking arrangements.
  • Processing scheduled credit card payments and workshop invoices, as well as submitting monthly sales reports and commission computations.
  • Submitting Personal Accident Insurance (PAI) listings to relevant parties.

Additionally, the successful candidate will be required to perform office administration duties, including managing petty cash claims, attending to calls, and opening and closing office premises.

Required Skills and Qualifications

To be successful in this role, you will require:

  • Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint.
  • Strong bookkeeping and administrative skills, with experience in fleet management and logistics.
  • Knowledge of SAP system operation, with the ability to use it effectively in your daily tasks.
  • Experience in litigation and documentation, with strong attention to detail and organizational skills.
  • Ability to work effectively in a team environment, with excellent communication and interpersonal skills.
