About the Role

We are seeking a highly organized and detail-oriented Sales Support Specialist to join our team at AVEVA. As a Sales Support Specialist, you will provide administrative support to our Sales team, ensuring seamless execution of sales activities and enabling the team to focus on high-value tasks.

Key Responsibilities
  • Provide sales administrative support, including licensing, quotations, CRM, contracts, and related matters.
  • Support team-level activities, such as recurring meetings and enablement.
  • Work with the Contract/Legal team on customer-related matters, including KYCU, KYC, EUU, and credit checks.
  • Ensure SFc Opp# are marked as close won after updating information in SFc and checking all necessary documents.
  • Follow up to ensure all documents are signed before COR can be completed, triggering SO to book.
  • Review and acknowledge POs with signatures.
  • Upload POs in Sfc and follow up with customers.
  • Train new joiners on the Sales booking process.
  • Work with the Technical team on the preparation of training orders.
  • Prepare training completion forms, attendance sheets, and training certificates.
  • Submit documentation to OM for invoicing.
  • Assist the sales team in vendor registration in customer portals and registering for tenders.
  • Schedule recurring business meetings and book meeting rooms.
  • Drive planning and preparation of presentation decks for Sales Meetings.
  • Take notes on action points for LT/SKO and follow up with the sales team.
  • Plan, prepare, and help execute SKO (twice a year).
  • Maintain group DL email lists and Team Channel Chats.
  • Maintain SEA Sales Org Charts and SEA Account Master Lists.
  • Assist and follow up with the sales team on potential leads when SE provides the 2-week Innovation Hub Calendar.
  • Liaise with SE Innovation Hub to schedule AVEVA customer visits.
  • Track and ensure timely completion of sales enablement by the sales team.

Knowledge, Skills & Experience Required
  • Ability to work effectively without close supervision.
  • Excellent communication skills, both verbal and written.
  • Flexibility to deal with the demands of a dynamic environment.
  • Strong sense of responsibility and able to work under pressure in meeting deadlines.
  • Flexibility to work additional hours at times of peak workloads (e.g., quarter end).
  • Good interpersonal skills and ability to deal with a variety of stakeholders.
  • Full working knowledge of Microsoft Office suite applications (MS Words, Excel, PowerPoint, Access).
  • Ability to develop a basic understanding of business and strategy to support business meetings.
  • Minimum of 3 years related working experience with the relevant skills.
