Job Overview
We are seeking a highly skilled and organized Administrative Support Specialist to join our team.
- Key Responsibilities:
- Document Management: Develop and implement efficient documentation systems for both physical and digital records, ensuring timely updates on the data management system.
- Equipment Maintenance: Ensure smooth functioning of office equipment, including printers and other devices.
- Support Services: Assist the head of administration with HR-related matters, including InfoTech and Mplify apps, OT claims, and deferment letters.
- General Administration: Perform various administrative tasks, including taking minutes during meetings and coordinating staff training.
- Inventory Management: Manage the ordering and inventory of office supplies.
Additional Responsibilities
- Event Coordination: Assist in coordinating events such as residents' day, iftar, charity fest, and other organizational activities.
- Guest and Partner Relations: Coordinate guest and partner visitations, including engagement with donors, sponsors, and other stakeholders.
- Policy Development: Support the development and preparation of Standard Operating Procedures (SOPs) and MSF licensing documents, ensuring compliance with the Standards of Care (SOC) and licensing requirements.
- Office Operations: Handle incoming phone calls, manage calendars, schedule meetings, prepare necessary documentation, and oversee the maintenance of office supplies.
Requirements
- Education: A diploma or degree in business administration, management, or a related field is required.
