We are seeking an experienced and meticulous individual to support the management and administration of all AI Singapore programmes at MyCareersFuture.

Duties and Responsibilities

The successful candidate will be responsible for:

  • Managing AI Singapore Funding Programmes and Research Project Grants, including coordinating with NUS administrative offices, participating institutions, PIs, and grantors on pre and post-award matters.
  • Assisting in scoping and document preparation for AI Singapore programme grant calls, disseminating grant calls, and coordinating submission of applications.
  • Coordinating reviews for applications and coordinating Scientific Committee meetings.
  • Managing the preparation and finalization of grant award letters, agreements, and/or terms & conditions.
  • Following up with host institutions regarding official acceptance and WBS account opening.
  • Aligning with SSRPO for virement, reporting SOPs, and approval authorities.
  • Processing requests for project changes.
  • Managing/coordinating/checking annual project reports, audits, expense reports, claims, budget projections, KPI reports, and other programme-level documents for submission to funders.
  • Housekeeping and archiving of documentation pertaining to grants.
  • Assisting in the organization and coordination of events/roadshows/presentations relating to the AI Singapore Funding Programmes/projects.

Secretarial Support

The candidate will also provide programme-related secretarial support to all directors of AI Singapore, including coordinating steering committee and evaluation panel meetings, and soliciting peer review reports for selected projects.

Qualifications

The ideal candidate will possess:

  • A recognized degree.
  • At least 3 years of working experience.
  • Good organizational and administrative skills.
  • Good interpersonal skills.
  • Able to work independently and as a good team player.
  • Adaptable and able to multi-task in a fast-paced environment.
  • Proficient in MS Office applications.
