Administrative Excellence

We are seeking a skilled and dedicated professional to join our team as an Executive (Admin & Projects). This is a unique opportunity for someone who is passionate about delivering exceptional administrative services and contributing to the success of our organization.

  • Administration and Project Services:

The successful candidate will be responsible for overseeing day-to-day administrative operations, ensuring organizational effectiveness, and managing administrative systems. They will also lead the annual donation box initiative, support event logistics, and provide secretariat support to the Executive Director as required.

  • Document Management:

The ideal candidate will develop and maintain efficient online and physical filing systems, ensure compliance with relevant laws and regulations, and maintain accurate records of Board resolutions and decisions.

  • Corporate Insurance:

They will research and assess insurance needs for beneficiaries and volunteers, recommend suitable policies, and administer and track renewal dates for all corporate insurance policies.

  • Board Secretariat and Governance Support:

The successful candidate will provide secretariat support to the Board and subcommittees, including meeting coordination, agenda setting, minute taking, and timely circulation of board papers.

  • Other Admin Support:

They will handle incoming enquiries professionally, prepare Vendor Approved Creation (VAC) forms for all relevant procurements, support office event logistics, and provide ad-hoc administrative support as assigned by supervisors within the HR & Office Admin department.

Required Skills and Qualifications

  • Proficient in Microsoft Office Suite and administrative systems.
  • Organization skills with good time management and the ability to multi-task.
  • Strong interpersonal skills to interact with employees and clients of all levels of seniority and across the departments.
  • Meticulous to details.

Job Requirements

  • Diploma in Business Administration, Facilities Management, or related discipline.
  • Minimum 3 years of experience in administration and project coordination.

  • Meticulous, organized, and able to manage tight deadlines.
