Job Summary:

  • We are seeking a highly skilled and organized Administrative Assistant to provide exceptional support to our marine operations team.

Key Responsibilities:

  • Provide administrative assistance to the marine operations team, ensuring seamless communication and coordination.
  • Maintain accurate and up-to-date records and documentation related to marine activities, adhering to industry standards.
  • Coordinate logistics and scheduling for marine operations, including vessel movements and crew schedules, with precision and attention to detail.
  • Assist in preparing reports, presentations, and correspondence, conveying complex information in a clear and concise manner.
  • Manage the Department reference publication library, ensuring easy access to vital resources.
  • Monitor and track expenses, budgets, and inventory related to marine operations, identifying areas for improvement.
  • Procure marine supplies and equipment, exercising sound judgment and fiscal responsibility.
  • Handle travel arrangements and accommodations for marine personnel, ensuring timely and efficient services.
  • Support safety and compliance initiatives by maintaining accurate records and documentation, upholding regulatory requirements.
  • Perform general office tasks such as filing, photocopying, and handling incoming/outgoing mail, maintaining a high level of professionalism.

Requirements:

  • Degree in marine engineering or a related field (maritime or engineering majors preferred)
  • At least 2 years' experience in the oil trading industry and in a similar role, demonstrating expertise and adaptability
  • Meticulous, diligent, and professional approach to work
  • Strong drafting and verbal communication skills, enabling effective collaboration and stakeholder engagement
  • Proficiency in Microsoft Office applications, particularly Word and Excel
