Job Summary

A dedicated and organized professional is required to provide exceptional administrative support to a Director. As a trusted assistant, you will be responsible for managing the Director's schedule, coordinating appointments, meetings, and travel arrangements.

  • Key Responsibilities:
  • Manage daily schedules and calendar – Coordinate appointments, meetings, and travel arrangements for the Director
  • Handle communications – Screen and respond to emails, phone calls, and other correspondences on behalf of the Director
  • Prepare meeting materials – Draft agendas, take meeting minutes, and follow up on action items as required
  • Organize travel & logistics – Plan domestic and international trips, including flight bookings, hotel reservations, itineraries, and transport arrangements
  • Support project tracking – Assist in monitoring ongoing projects, deadlines, and deliverables to keep the Director informed and aligned
  • Maintain confidential records – Organize and securely handle sensitive documents, reports, and contracts with discretion
  • Liaise with internal and external stakeholders – Coordinate with company departments, clients, and partners on behalf of the Director
  • Conduct research and prepare reports – Compile market information, competitor insights, or briefing documents when needed
  • Assist in event planning – Help arrange company or client events, conferences, or meetings under the Director's purview
  • Provide general administrative support – Manage expense claims, office supplies, and other ad-hoc tasks to support daily operations
Requirements

  • Qualifications:
  • Minimum ITE in Business Administration, Management, or a related field
  • At least 1 year of experience as a personal or executive assistant
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High level of confidentiality and professionalism
  • Proficient in MS Office (Word, Excel, PowerPoint) and digital collaboration tools (e.g., Google Workspace, Zoom)
  • Proactive, detail-oriented, and able to work independently
  • Good interpersonal skills and a positive, can-do attitude
  • Ability to work under pressure and adapt to changing priorities
  • Familiarity with business operations or executive-level support is an advantage
