
Dormitory Operations Coordinator

We are seeking a detail-oriented Operations Assistant to support day-to-day operations in dormitory management and human resource functions.
Main Responsibilities:- Coordinate worker accommodation, room assignments, check-ins, check-outs, and maintenance requests.
- Maintain up-to-date records of dormitory occupancy and ensure compliance with regulatory requirements.
- Assist in handling manpower logistics, transport arrangement, and shift schedule dissemination.
- Keep accurate data and documentation of personnel records, including work permits, ID passes, and training certifications.
- Monitor expiry dates of key documents and assist with renewals or follow-up actions.
- Coordinate distribution of PPE, uniforms, and dormitory necessities.
- Liaise with external vendors or agencies for basic supplies and services when necessary.
- Assist in preparing reports and updates for internal use.
- Support safety and housekeeping inspections of dormitory premises.
- Assist in compiling and verifying data for billing related to dormitory and manpower services.
- Coordinate with internal departments to gather necessary information for monthly billing cycles.
- Support the preparation of simple invoices or billing summaries for internal tracking or external clients.
- Monitor billing schedules and follow up on pending payments or discrepancies.
- Maintain organised records of billing documents and transactions for audit and reporting purposes.
- Diploma or equivalent qualification preferred.
- Prior experience in operations or HR support in a marine or industrial setting is an advantage.
- Able to work independently and adapt to a fast-paced environment.
- Strong organisational and coordination skills.
- Proficient in Microsoft Office (Excel, Word).
- Willingness to work near dormitory sites or operational premises.
- Good communication skills in English; knowledge of other languages is a plus.
