Key Responsibilities
  • Manage incoming and outgoing correspondence, including mail and parcels
  • Coordinate meeting and training room bookings, ensuring timely and efficient use of facilities
  • Assist with client requests for office supplies and conference call arrangements
  • Update courier service accounts and issue name cards for clients
  • Process PR/PO issuances and follow up with vendors on invoices
  • Provide exceptional customer service, greeting visitors and vendors, and ensuring they are briefed on safety protocols
  • Perform ad-hoc duties as required, including finance administrative tasks and process training
  • Support the facility management team to ensure seamless delivery of client facility needs
  • Build and maintain relationships with stakeholders across all levels, demonstrating emotional intelligence and professionalism
  • Conduct stocktakes for pantry food items and enforce the clean desk policy
  • Assist with soft services vendor management, ensuring timely completion of tasks and follow-up on invoices
Requirements
  • Excellent communication and organizational skills
