Job Overview:

We are seeking an experienced Facilities Administrative Assistant to join our team. This role will be responsible for providing administrative support to our facilities management manager and maintenance department.

The successful candidate will have a strong background in facilities administration, with experience in coordinating and scheduling routine maintenance activities and inspections. They will also have excellent communication skills, able to effectively communicate with internal departments and external contractors.

Responsibilities of the role include:
  • Providing administrative support to the facilities management manager and maintenance department.
  • Coordinating and scheduling routine maintenance activities and inspections.
  • Communicating effectively with internal departments and external contractors.
  • Sourcing facility and machinery parts.
  • Maintaining proper filing systems to ensure smooth documentation and administration.
  • Updating monthly outlets servicing reports to mall managements.
  • Following up on findings raised by WSHO cum fire safety manager to ensure compliance with regulations.


The ideal candidate will possess the following skills and qualifications:
Requirements:
  • Diploma in Civil/Mechanical/Electrical/Facilities Management/Construction.
  • Minimum 2 years of working experience in facilities management.
  • Strong teamwork and interpersonal skills.
  • Detail orientated and able to work under pressure in a fast-paced environment.


The benefits of this role include:
Benefits:
  • Annual incentive bonus: pay out twice in a year - 0.5 months of basic salary each period.
  • Annual leave: 10 days. 1 additional day for 12 months of continuous service, up to a maximum of 14 days.


Work time is from 8am to 5.30pm (Monday to Friday).
