Private Wealth Assistant

We are seeking a highly skilled and dedicated individual to join our Private Wealth Singapore team as the team's Assistant. As a key member of our team, you will be responsible for providing administrative support to our professionals, ensuring the smooth operation of our daily activities.
Key Responsibilities- Support a team of professionals in Private Wealth Singapore, collaborating with other APAC, US, and European teams.
- Manage calendars, scheduling appointments, confirming meetings, and coordinating with other assistants.
- Collaborate with marketing colleagues on events, both on-site and off-site.
- Coordinate senior management visits in close cooperation with other locations and support respective visitors as needed.
- Explore and highlight cost-efficient ways to manage assigned responsibilities, such as travel arrangements and procurement of hotels in SE Asia.
- Book conference rooms for internal and external meetings, meet and greet guests, and register visitors in our system.
- Complete detailed expense reports, including tracking receipts and project budgets.
- Coordinate travel arrangements, including flights, visas, cars, hotels, and other reservations.
- Track and process invoices, ensuring they go through outlined internal approval procedures.
- Enter and maintain contacts in Outlook.
- Work on various ad-hoc projects.
We are looking for a candidate with a minimum of 5+ years of administrative support experience working in a professional environment for a medium to large corporate entity, including support for management. The ideal candidate will have:
- High integrity with the ability to perform duties with the highest level of confidentiality.
- Superior organizational and time management skills.
- Meticulous attention to detail and accuracy on work deliverables.
- Strong verbal and written communication skills in English.
- Ability to work efficiently in a high-pressure deadline-driven environment.
- Highly driven and proactive with the ability to take initiative.
- Able to manage multiple projects simultaneously.
- Ability to work independently in a team-oriented environment.
- Able to develop strong working relationships with colleagues, teams, and vendors.
- Proficient in MS Office Suite and demonstrated ability to quickly pick up new software and systems.
- Professional attitude with a friendly, outgoing demeanor to support client-facing departments.
