Job Summary
We are seeking a highly organized and detail-oriented Project Coordinator to join our team at MyCareersFuture. As a Project Coordinator, you will play a critical role in ensuring the smooth operation of our projects.
Key Responsibilities
- Manage day-to-day project administrative tasks, including coordinating with team members and stakeholders to ensure timely completion of tasks.
- Assist engineers in preparing meeting minutes and consolidating tender returns and tabulation, ensuring accuracy and attention to detail.
- Support sector leads in preparing bids, utilizing strong analytical and problem-solving skills to ensure successful outcomes.
- Revise systems or schedules as required to ensure timely approvals and distribution, demonstrating flexibility and adaptability.
- Ensure changes to documents are completed in a timely fashion to meet set deadlines, prioritizing tasks and managing multiple projects simultaneously.
- Coordinate with other parties to ensure document edits are made and proofed, maintaining effective communication and collaboration.
- Track and maintain records of documents, ensuring accuracy and completeness.
- Ensure the document tracking and production system is maintained, identifying areas for improvement and implementing changes as needed.
- Prepare and maintain a document control system for all forms of documentation, ensuring compliance with company policies and procedures.
- Make copies of drawings for production and other company employees, utilizing strong organizational skills to manage multiple tasks.
- Ensure that all completed documents have been signed-off by the appropriate personnel, maintaining a high level of attention to detail.
- Implement and follow company quality assurance program procedures, ensuring adherence to industry standards and best practices.
Requirements
- Minimum GCE O Level or equivalent qualification.
- At least 5 years of experience in an administrative role, preferably as a Project Admin, Document Controller, or Project Assistant in Singapore.
- Strong communication skills, both written and verbal, with the ability to build constructive and effective relationships.
- Proficient level of English, both oral and written, with excellent PC skills in Microsoft Word, Excel, and PowerPoint.
- Comprehensive range of administrative skills and client support services, with the ability to thrive under pressure in a fast-paced, deadline-driven environment.
