Job Summary

MyCareersFuture is seeking a highly skilled and experienced Relocation Executive to join our team. As a key member of our relocation team, you will be responsible for coordinating and managing the relocation process for assignees and their families, ensuring a seamless and stress-free experience.

Main Responsibilities

  • Administer and manage the relocation process from pre-decision trip to arrival, including services such as preview trips, home searches, school searches, settling-in, and departure.
  • Make timely contacts with vendors, clients, realtors, and 3rd party providers to ensure successful assignee experience.
  • Coordinate with internal departments to ensure successful assignee experience.
  • Remain up-to-date on local nuances and current affairs trending in the international community, including knowledge of the housing market, international schools, recreation, healthcare, public transportation, groceries, expats lifestyles/activities, and domestic help.
  • Keep abreast with industry and regulations changes that will impact our line of work and affect the process flow.
  • Update external and internal portals in line with KPIs, ensuring complete and accurate entries.
  • Ensure timely and accurate communications, reports, documentation, and tasks.

Administrative Support

  • Assist Senior Managers with back-end coordination, scheduling, and making inquiries as part of program planning and completion.
  • Data entry, auditing of suppliers' invoices against services rendered, ensuring correct clients/RMC/supplier contact information in database, and assisting with various reporting requests.
  • Invoicing and Billing Matters.

Tenancy Support

  • Review contract terms regarding landlord/tenant responsibilities for maintenance, breakage, damages, etc.
  • Contact tenant within specified timeframe to brief and facilitate the ongoing support process.
  • Act as a liaison between parties to solve any problems, maintaining an issue log/record of calls and actions taken.
  • On-site presence or assign property inspector to evaluate repairs/damages and manage contractors may be required.
  • Send advanced notice to Tenant on upcoming renewal and lease termination, proposing cost-saving measures/damage control if there is pre-termination of lease.
  • Oversee tenancy closure/departure files.

  • Strong ability to multitask, prioritize, and be flexible as new tasks arise.
  • Ability to communicate effectively in a constructive and professional manner.
  • Attention to detail and strong organizational skills.
  • Team builder and player, customer-driven, and able to work in a dynamic work environment.
  • Cultural sensitivity to deal with various nationalities and ethnic groups.
  • Provide consultative guidance pertaining to settling-in topics to support all assignees. Mandarin is an added advantage when corresponding with Chinese expatriates.
  • Be prompt and responsive to clients' inquiries.
