Administrative Support Assistant Role:
As a highly skilled Administrative Support Assistant, you will play a critical role in ensuring the smooth operation of our organization's daily activities. You will be responsible for providing essential support to our team, handling various administrative tasks, and contributing to the development and implementation of process improvements.
Job Description:
- Support in Document Preparation: Provide invaluable support in preparing minutes, monthly KPI reports, presentations, and other documents.
- Enhance Communication and Coordination: By handling routine inquiries and tasks, the assistant will facilitate better communication and coordination within the team and across departments.
- Logistics Support for Events: Provide essential coordination support for events, such as meetings held twice a year.
- Business Review Preparation: Offer critical support for business review preparation, ensuring that all materials are ready and of high quality.
- Data Analysis and Reporting: Collect, analyze, and report on key performance indicators (KPIs) to identify areas for improvement.
- Process Improvement: Assist in the development and implementation of process improvements to streamline operations and enhance efficiency.
- Project Support: Provide support for various operational excellence projects, including planning, execution, and monitoring.
- Documentation and Communication: Keep documentation related to processes, procedures, and project updates, as well as communicating effectively with team members and stakeholders.
- Other duties as assigned: This may include tasks related to administration, scheduling, or special projects as needed.
Required Skills and Qualifications:
- Minimum 2 years of working experience, preferably administrative support.
- Diploma in Business Administration or equivalent.
- Good interpersonal and communication skills, English at work proficiency level (written and verbal).
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Sharepoint experience (create and customise SharePoint sites, manage permissions, and utilise collaborative features like workflows).
- Able to work independently under minimum supervision within a team environment.
- Display high level of professionalism and possess high level of integrity.
