Corporate Admin Executive

- Responsible for organizing the Executive's calendar/ diary and help to prioritise the Executive's time when there are competing demands
- Responsible for the Executive's travel arrangements and proactively plan for the Executive's business travel and itinerary in advance
- Liaise with external parties on Executive's behalf across multiple projects
- Proactively coordinate internal and external meetings, correspondences and any other administrative tasks as required including but not limited to sourcing and reserving venues for events and conferences
- Assist to prepare presentations and other deliverables
- Maintain and upkeep the appearance of the office conference rooms and meeting areas in preparation for the Executive's internal meetings.
ADMIN JOB DESCRIPTION
. Review and process claims for relevant business units and clinic operations
. Petty cash claims
. CDE Claims & Sponsorship
. Transport/ Parking claims
. Meal / Entertainment claims
. Responsible for consolidating and preparing and filing of relevant documents
. Responsible for preparing summary of claims for Finance payment
. Verify invoices received from Third Part administrator such as MHC
. Supervision of all office matters on a daily basis
. maintaining cleanliness of the office, pantry, meeting rooms
. welcoming office visitors,
. receiving telephone calls & messages, collect mails
. Consolidate mails, scan and sort in dropbox for different business units (except for confidential letters)
. courier & delivery services
. office supply for clinic - stationary, dentists stamps, clinic stamps, paper, toner, toilet roll, water (individual bottled water & dispenser) etc
. office supply / office pantry- water, stationery, stamps and chops etc.)
