Manager / Assistant Manager (Assistant to Chief Alumni Officer)

- Provide secretarial and administrative support to the Chief Alumni Officer including coordinating and maintaining the calendar of the Chief Alumni Officer, arranging meetings/appointments, and managing overseas travel logistics
- Manage the Chief Alumni Officer's expense claims
- Send meeting reminders and ensure all required materials are prepared in advance of each meeting
- Manage the department secretary's role-based email account and help resolve requests where possible
- Assist in handling incoming calls, and visitors
- Attend to requests from university administrative offices.
- Provide support in the organisation of department events
- Update alumni records, when required
- Supervise front-of-the-house reception, student ambassadors and related administrative matters for the Shaw Foundation Alumni House
- Perform any other duties as assigned by the Chief Alumni Officer, and Head of Administration
- Arecognised degree with at least 2 years of working experience fresh graduates may also be considered.
- Good command of English with strong verbal and written communication skills.
- Excellent project management skills, timeline-oriented, meticulous, and attentive to details.
- Courteous and discreet, with good people skills.
- Adaptable and able to multi-task in a fast-paced environment.
- Prior experience in a similar role would be an advantage.
- Good knowledge in Microsoft Office Applications.
