Job Description

The incumbent will be providing secretarial assistance and administrative support in the office of the Dean of NUS Business School for the smooth operations of the office.

- Proactively manage all aspects of the Dean's schedule to ensure maximum optimization of Dean's resources:

  • Provide secretarial and administrative support to the Dean including coordinating and maintaining the calendar of Dean, arranging meetings/appointments/overseas travel, maintaining an updated and efficient filing system
  • Manage finance matters and assist the Dean in his expense claims


- Support the Dean in the planning, analysis and execution of meetings and events:

  • Identify, anticipate and prepare all relevant information pertaining to each meeting/event, including performing background research and analytics on the participants, topic of discussion and focus areas and travel logistics
  • Make the connection between the different offices and stakeholders of the School so that appropriate support is provided, and the necessary follow up done and to ensure the smooth running of the day-to-day operations in the Dean's Office


- Deliver an efficient and effective support service to the Dean's Office in managing incoming information and following up on the office administration:

  • Upkeep the school secretary's role-based account and assist in efficient management of Outlook inbox
  • Manage calls, letters, emails and visitors
  • Assist in the following up and coordinating all the requests from the administrative offices of the University, including collating reports and compiling of data

- Secretariat for the Teaching Excellence Council (TEC), including logistics planning, follow-up of action items, managing communications, preparation of meeting files and minutes taking


- Perform other duties as assigned by the Dean or Deputy Director

Qualifications
  • A good University Degree, with minimum 3-5 years of working experience
  • Good organizational, analytical and problem-solving skills with the ability to multitask
  • Meticulous in handling operational details and appreciates organisational sensitivity
  • Excellent written and oral communication skills
  • IT savvy, with good knowledge in Microsoft Office Applications
