Position Overview:

We are seeking a diligent and organized Finance Admin Executive to join our team. The ideal candidate will be responsible for overseeing administrative tasks while also providing support to the finance department. This role requires a detail-oriented individual with strong organizational skills and the ability to multitask effectively. The Finance Admin Executive will play a crucial role in maintaining the smooth operation of our office environment while also assisting with financial tasks as needed.

Finance Core:

- Assist the finance department with day-to-day financial tasks, including data entry, invoice processing, and expense tracking.
- Prepare financial reports, spreadsheets, and presentations as needed.
- Assist with accounts payable and accounts receivable functions.
- Collaborate with finance team members to ensure accurate and timely financial record-keeping.
- Support month-end and year-end financial closing processes.

Record Keeping and Filing:

- Maintain organized and up-to-date records for both administrative and financial purposes.
- Ensure proper filing and documentation of all administrative and financial records.

Office Administration:

- Manage office operations to ensure efficiency and compliance with company policies.

- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.

- Coordinate office maintenance and repairs as necessary.

- Oversee office cleanliness and organization, including the management of janitorial services.

- Act as the primary point of contact for office vendors and service providers.

- Handle incoming and outgoing correspondence, including mail, emails, and phone calls.

Qualifications:

  • Bachelor's degree in finance, business administration, or related field preferred.
  • Proven experience in office administration and/or finance-related roles.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent attention to detail and accuracy in work.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Knowledge of basic accounting principles is desirable.
  • Excellent communication and interpersonal skills.
  • Ability to work independently with minimal supervision.
