Roles & Responsibilities

Job Description

This position will be responsible for handling both import and export functions and customer service duties. The role will involve close coordination with customers, internal and external departments and customs authorities to ensure seamless shipment execution and timely documentation, ensuring accuracy and compliance with all regulatory requirements.

1) Customer Service & Coordination

  • Coordinate and provide accurate booking details to customers, including timely creation of bookings in Portnet.
  • Manage and monitor customer bookings to ensure correct freighting details and schedules.
  • Monitor incoming payments from customers and issue receipts upon confirmation.
  • Communicate effectively with customers to respond to inquiries, requests, and any freight-related issues.
  • Proactively follow up with customers to ensure shipping arrangements are aligned with their expectations.

2) Export Documentation Handling

  • Handling and processing of all Export documentations ( Shipping Instruction and B/L issuance );
  • Submit export permits (MRS) to customs authorities on time and in accordance with regulatory requirement
  • Issue receipts for payments received from customers.
  • Prepare and issue Cross-Trade Bills of Lading and coordinate any special documentation as required.
  • Investigate and resolve any export-related freight issues escalated by customers in a timely and professional manner.

3) Import Documentation Handling

  • Ensure timely preparation and submission of Notice of Arrival to consignees.
  • Perform Portnet Electronic Delivery Order (EDO) generation and dispatch to consignees.
  • Process and submit import permits to Customs in compliance with regulations.
  • Address and resolve any import-related freight issues or discrepancies raised by customers.
  • Issue receipts for payments received related to import shipments.
  • Any other ad-hoc duties as assigned

Job Requirement

  • Strong knowledge of shipping documentation, including export/import procedures and permit submissions.
  • Excellent attention to detail and accuracy in documentation.
  • Good communication and customer service skills for coordination with various stakeholders.
  • Proficiency in Microsoft Office particularly Excel and Word.
  • At least 2-3 years of relevant working experience in shipping documentation.
