About the Role:
We are seeking a highly organized, detail-oriented, and proactive Personal Assistant to support the Director. As a Personal Assistant, you will be responsible for managing daily schedules, handling communication, assisting with administrative tasks, and ensuring smooth operations for the Director. This role requires someone who can handle confidential information with discretion, stay on top of multiple tasks, and work in a fast-paced environment.
Key Responsibilities:
- Manage and maintain the director's calendar, scheduling appointments, meetings, and travel arrangements.
- Coordinate internal and external communications, including phone calls, emails, and correspondence.
- Organize and prioritize tasks, ensuring deadlines are met and requests are handled efficiently.
- Prepare documents and reports as needed.
- Handle travel arrangements, including booking flights, accommodations, and transportation.
- Assist in managing personal errands and other non-business related tasks as required.
- Maintain confidential files and documents, ensuring proper record-keeping.
- Liaise with internal and external stakeholders to facilitate meetings and ensure smooth communication.
- Provide general administrative support, including office management and organizing meetings/events.
Qualifications:
- Experience as a Personal Assistant or in a similar role is preferred.
- Strong organizational and time-management skills with the ability to multitask.
- Excellent communication skills (both written and verbal).
- Proficiency in office software (eg. Microsoft Office, Google Workspace).
- Strong attention to detail and problem-solving skills.
