
Admin and Operations Manager

Job Summary:
The Admin and Operations Manager will lead and coordinate administrative, warehousing, and logistics functions to ensure day-to-day operations run smoothly. This role requires someone reliable, resourceful, and responsive — capable of handling both planned operations and urgent issues, including being on standby during evening live station events. The successful candidate will supervise delivery teams, warehouse operations, admin staff, and part-time service crew scheduling.
Key Responsibilities:
Operations & Logistics Management
• Oversee day-to-day delivery schedules, vehicle planning, and route optimization for delivery team
• Ensure timely fulfilment of customer orders and live station setups
• Coordinate warehouse inventory movement with warehousing staff
• Monitor stock levels and support replenishment planning with purchasing
Admin Supervision
• Supervise the 3-person admin team (sales and finance admin)
• Ensure proper issuance of invoices, Dos, and customer records
• Review and refine internal processes for greater efficiency
• Attend to business phone calls and follow-ups, including customer coordination
Event Crew Management
• Maintain and schedule pool of 10+ part-time service crew for ice cream cart events
• Coordinate briefing, logistics, and customer expectations before each event
• Track attendance and performance of service crew
Ensure manpower is locked in early, especially for weekends and peak periods Customer and Staff Support
• Act as first point-of-contact for delivery/logistics/event issues, including evening standby for event support
• Resolve operational problems swiftly (e.g., vehicle breakdowns, crew no-shows, late arrivals)
• Liaise with Director on staff discipline, leave, and performance concerns
Reporting & Coordination
• Submit weekly operational reports (deliveries, event summaries, staffing)
• Assist Director with manpower planning, vendor liaison, and process improvements
Working Hours:
5.5 Day Work Week
• Mon–Fri: 8.30am to 5.30pm
• Sat: 8.30am to 12.30pm
• On-Call / Standby: Weeknight event coverage via mobile (on rotational basis if team expands)
Note: Time-off-in-lieu provided for extended evening/weekend coverage.
Required Qualifications & Skills:
• Diploma/Degree in Business Admin, Logistics, or related field
• Min. 3–5 years' experience in operations or general management, preferably in F&B or logistics
• Strong leadership and people management skills
• Good problem-solving and crisis management ability
• Comfortable handling operational WhatsApp/calls during non-office hours if needed
• Proficient in Microsoft Excel, Google Workspace, and scheduling tools
Remuneration:
• Monthly Salary: SGD 4,000 – 5,000, depending on experience
