We are seeking a motivated and dependable team player to join a passionate group of professionals in a supportive and innovative work environment. As an Associate Executive in the Communications Department, you will contribute to meaningful work in healthcare communications. You will play an important supporting role in helping the team promote and connect with diverse stakeholders, and deliver impactful campaigns that reflect the hospital's values and achievements.
Key Responsibilities
- Handle procurement processes for services and supplies, including sourcing requests, raising e-Purchase Requisitions based on specifications provided, and processing invoices.
- Maintain proper filing and documentation, organise shared drive content, and oversee upkeep of office equipment and records, including asset tagging and disposal.
- Coordinate and manage meeting schedules and calendars.
- Support corporate identity tasks, such as reviewing name card applications, managing the inventory and sourcing of corporate gifts, collaterals, and kits, and responding to related end-user requests.
- Assist in on-site projects: maintain schedules and update content for departmental platforms (e.g. lift posters, TV screens), handle equipment maintenance, liaise with departments on permit-to-work approvals, and oversee installations like wall murals (which may occur after office hours).
- Provide administrative and logistical support for the hospital's volunteer programme, including processing applications, preparing nametags, and coordinating with volunteers.
- Support planning and logistics for corporate visits and events.
- Perform any other duties as assigned.
Key Requirements
- Diploma from a recognised institution
- At least 5 years of relevant experience in administrative or project management roles
- Minimum 2 years of experience working in a large organisation and a fast-paced environment
- Strong organisational, interpersonal, and communication skills
- Able to adapt quickly, handle multiple tasks, and manage shifting priorities
- A dependable team player with a proactive attitude
- Proficient in Microsoft Office applications
- Familiarity with content management systems (e.g. SharePoint)
- Basic graphic design skills would be an advantage
