Roles & Responsibilities

Our healthcare client is looking for an Senior Executive Assistant or Associate Executive to provide logistic, procurement, inventorial and admin support for the laboratory.


Primary Responsibilities (80%):

  • Perform stock take, logistics, and inventory management of lab supplies and reagents, including top-ups.
  • Manage loaning and requisitioning of equipment, supplies, and consumables.
  • Perform billing for external clients, internal cost transfers, and patient billing.
  • Conduct quarterly bill audits and make adjustments.
  • Ensure timely payment to external parties/vendors.
  • Maintain updated records for contracts, inventories, requisitions, and approval papers.
  • Handle sorting, filing, scanning, and recording of documents, and maintain filing system.
  • Track CAPEX/OPEX budget, staff training budget, and other related funds.

Secondary Responsibilities (20%):

  • Collect and dispatch documents or mails within hospital premises.
  • Co-ordinate meetings, book venues, collate agenda, and arrange catering.
  • Assist in maintaining training records and informing staff of training activities.
  • Attend to admin-related maintenance/service issues promptly.
  • Provide administrative support to ensure smooth daily operations and meet project/task timelines.
  • Perform other duties assigned.

Requirements

  • Diploma holder, minimum of 2 years experience in procurement/logistics and administrative experience (lab experience preferred)
  • Proficient in Microsoft Office
  • Good understanding of accounting
  • Positive, self-motivated, and adaptable
  • Good communication skills
  • Strong team player
