Roles & Responsibilities

Job Summary:


The Compliance and Operations Executive is responsible for ensuring that the school meets and maintains accreditation standards set forth by EduTrust, the Western Association of Schools and Colleges (WASC), and the Council of British International Schools (COBIS). This role involves managing compliance with accreditation requirements and preparing for accreditation reviews. In addition to managing compliance with these accreditation requirements, the role will support school business development and administrative functions to drive organizational growth and efficiency.


Key Responsibilities:


1. Compliance Management:

  • EduTrust Compliance:
  1. Ensure adherence to EduTrust standards and guidelines.
  2. Coordinate the preparation of documents and evidence required for EduTrust accreditation reviews.
  3. Monitor compliance with EduTrust requirements on an ongoing basis.

WASC Accreditation:

  1. Oversee the preparation and submission of materials for WASC accreditation.
  2. Facilitate internal self-evaluations and external reviews related to WASC.
  3. Implement recommendations from WASC reviews to enhance school performance and compliance.

COBIS Accreditation:

  1. Manage the process for COBIS accreditation and reaccreditation.
  2. Maintain up-to-date knowledge of COBIS standards and practices.
  3. Support the school in meeting COBIS guidelines and standards.

2. Operational Oversight:

  1. Oversee day-to-day operational processes to ensure efficiency and adherence to company policies.
  2. Analyze operational data to identify trends, inefficiencies, and opportunities for process improvement.
  3. Collaborate with various departments to streamline operations and enhance overall performance.

3. Risk Management:

  1. Identify and assess operational and compliance risks and develop strategies to mitigate them.
  2. Address any compliance issues or operational disruptions promptly and effectively.
  3. Implement and monitor risk management controls to ensure they are functioning properly.

4. Training and Support:

  1. Develop and deliver training programs to ensure staff are knowledgeable about compliance requirements and operational procedures.
  2. Provide support and guidance to employees regarding compliance and operational issues.
  3. Act as a point of contact for compliance and operational inquiries.

5. Reporting and Documentation:

  1. Prepare detailed reports on compliance and operational performance for senior management.
  2. Maintain accurate records of compliance activities, operational procedures, and risk assessments.
  3. Ensure proper documentation of all compliance and operational processes.

6. Continuous Improvement:

  1. Promote a culture of continuous improvement within the organization by identifying and implementing best practices.
  2. Evaluate the effectiveness of existing procedures and recommend improvements.
  3. Stay informed about industry trends and changes in regulations that may impact operations.

7. Collaboration and Communication:

  1. Work closely with other departments to ensure alignment of compliance and operational objectives.
  2. Communicate effectively with external regulatory bodies, auditors, and other stakeholders.
  3. Foster positive relationships with team members and external partners to support compliance and operational goals.

8. Administrative Task:

  1. Maintain and organize business development documentation, including proposals, agreements, and reports.
  2. Ensure that all records are up-to-date and accessible.
  3. Provide administrative support to the Head of Corporate Services and Business Development

Qualifications:

  • Diploma in Business Administration, Compliance, or a related field
  • 3 years of experience in compliance and operations, or a related role.
  • Strong knowledge of regulatory requirements and industry standards.
  • Proven experience in managing operational processes and improving efficiencies.

Skills and Competencies:

  • Excellent organizational and analytical skills.
  • Strong attention to detail and problem-solving abilities.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in compliance management software and tools.
  • Experience in EduTrurst, WASC, COBIS and/or CIS accreditation will be advantageous.
