Admin and HR Executive Position

We are looking for an Administrator and HR Executive to support our training and HR functions. The candidate will be responsible for communicating with participants and training team and assist to ensure the smooth running of on-site admin support and HR administration.

In this role, the candidate should combine a strong attention to detail with an ability to multi-task and work under pressure. The candidate should also be a reliable problem-solver with strong project management skills.

Job Description

On-site Admin Support

  • Participate in preparation of documents for training programmes
  • Maintain training records (e.g. trainee lists, schedules, attendance sheets, Assessment Reports)
  • Upkeep the cleanliness of the classrooms and ensure they are properly set up
  • Prepare and disseminate material (e.g. instructional notes, feedback forms)
  • Act as a point-of-contact for trainer(s) and participants
  • Handle fees receivable and ensure invoices are paid
  • Resolve issues as they arise onsite
  • Support training activities and report to the management any feedback received from the participants
  • Recommend improvements for the smooth running of on-site processes


Human Resources

  • Manage employee records, including new hire onboarding, terminations, and update employee information in the HR system
  • Assist with recruitment activities, such as posting job ads, scheduling interviews, and conducting reference checks
  • Coordinate and organise employee training sessions and maintain training records
  • Assist with development and implementation of HR policies and procedures
  • Monitor and manage employee time off requests, including sick leave, vacation, and personal days
  • Assist with the preparation of HR-related reports and presentations
  • Respond to employee inquiries regarding HR policies, benefits, and other HR-related matters
  • Maintain compliance with local labor laws and regulations


Requirements

  • Proven experience as a Training Administrator, HR Assistant or similar role
  • Experience in project management
  • Knowledge of office procedures and billing
  • Proficient in MS Office and Google apps; working knowledge of databases and CRM is a plus
  • Excellent organisational and multitasking ability
  • Outstanding communication skills
  • Strong attention to detail
