The main responsibilities of the job include the following aspects:


Clinic Operations duties:

  • Assist in the routine care of the patient and attend to their comfort needs.
  • Maintain accurate documentation of patients’ physical assessments such as height, weight, visual acuity, audiometry, and nursing observations.
  • Observe strict infection control practices and aseptic techniques accordingly when attending to patients.
  • Conduct inventory checks on equipment, surgical supplies, and instruments.
  • Exhibit professional behavior to enhance quality service.
  • Maintain a safe and clean environment for patients.
  • Collate all laboratories, x-ray results, and reports from specialists.
  • Follow-up instructions from the doctor regarding laboratory, x-ray, and other results for review.
  • Ensure results are ready, and inform the doctor of any urgent and adverse results.
  • Assist in translating duties within and outside the clinic, facilitating communication between patients, clinic staff, doctors, and specialists.


Administrative Affairs Management:

  • Responsible for the overall coordination and management of various administrative affairs in the company to ensure that tasks are executed orderly.
  • Arrange the supervisor's schedule, handle information requests, and prepare data reports.
  • Manage company documents, including filing and organizing files.


Reception and Client Relationship Management:

  • Responsible for welcoming clients, and providing high-quality reception services.
  • Handling Clinic emails, phone calls, and inquiries.
  • Making appointments and coordinating appointments.
  • Register patients.
  • Maintain client relationships and assist in strengthening communication and contact with clients.

Procurement Management:

  • Responsible for the company’s warehouse management, including the arrangement of the office environment and cleanliness.
  • Handle the procurement, distribution, and inventory of office supplies and medications.

Other Administrative Support Tasks:

  • Complete other administrative management support tasks as assigned by the company.
  • Assist leadership in conducting internal assessments within the department and help solve practical problems. Act as a mentor and educator for existing clinic staff
  • Develop and organize online consultations, courses and workshops related to your expertise.
  • Prepare course content, including materials, presentations, and resources.
  • Promote these courses within the clinic and to external audiences.
  • Conduct training sessions to ensure continuity of care even when you’re not present.
  • Extend support in various administrative tasks within the Clinic

The role of an Operation Executive involves a range of tasks relatively complex and diverse, requiring strong organizational, communication, and coordination skills to ensure the efficient operation of the company's overall business affairs.
