Roles & Responsibilities

Department: Operations
Reports to: Clinic Manager / Senior Beauty Therapist
Location: Orchard
Key Responsibilities:
  • Customer Service: Greet and welcome clients, ensuring they feel comfortable and attended to upon arrival.
    Provide information about the clinic's services and products, assisting clients with bookings and inquiries.
    Assist clients with forms and necessary documentation before their appointments.
    Ensure customer satisfaction and handle any complaints or issues professionally, referring them to management if necessary.
  • Appointment Scheduling & Management: Book, confirm, and reschedule appointments for clients.
    Maintain and manage appointment schedules, ensuring there are no double-bookings or confusion.
    Provide reminders to clients regarding their appointments via phone or email.
  • Administrative Support: Maintain client records, including service history, preferences, and personal details.
    Handle incoming calls, emails, and inquiries related to services and appointments.
    Assist with inventory management of beauty products, ensuring supplies are stocked and properly organized.
    Process payments for services and products, managing cash, credit, and digital transactions.
  • Clinic Maintenance: Ensure the clinic is always clean, well-organized, and sanitized.
    Assist in preparing treatment rooms, ensuring that all equipment and products are set up for beauty treatments.
    Ensure all safety and hygiene standards are met, especially in shared treatment spaces.
  • Support to Beauty Therapists: Assist therapists and aestheticians during treatments when required (e.g., handing over products, supplies).
    Maintain knowledge of the clinic's services to support therapists in delivering excellent treatments.
    Help with post-treatment client care, such as offering aftercare advice or booking follow-up appointments.
  • Promotions & Retail Support: Promote and upsell products and services to clients.
    Maintain knowledge of all the beauty products sold in the clinic, offering product recommendations when needed.
    Assist in retail sales and handle transactions.
Key Skills & Qualifications:
  • Experience: Previous experience in customer service or administrative roles, preferably in the beauty or wellness industry.
    Familiarity with beauty treatments, products, and services is an advantage but not required.
  • Skills: Excellent communication and interpersonal skills.
    Strong organizational and multitasking abilities.
    Friendly, approachable, and customer-focused attitude.
    Basic computer skills (appointment scheduling software, email, etc.).
  • Personal Attributes: Attention to detail.
    Professional appearance and demeanor.
    Ability to work independently and as part of a team.
    Willingness to learn and adapt to new services and treatments.
Working Hours:
  • Full-time / Part-time (Specify hours, including weekends if applicable).
