Roles & Responsibilities

Job Scope:


Partnerships Team:

Event/programme management

· Assist in running events/programmes, including the logistics and administration of the activities, liaising with vendors, internal and external stakeholders.

· Assist in marketing of events.

· Manage and monitor RSVPs for the events.

· Exposed to project management skills (e.g. developing timelines and monitoring), liaising and coordinating among stakeholders, tabulating the respective inputs/ views.

· Secretariat duties including management of meetings and taking notes and post-meeting follow ups.


Procurement Support

· Support the preparation of procurement documents as needed for the project.

· Prepare purchase orders, seek approvals, and track the status of orders to ensure timely delivery.

· Maintain accurate records of procurement processes, including quotations, invoices, and payment documentation.

· Ensure compliance with procurement policies and budget guidelines.

Desktop research/ simple email submissions

· Assist with the development of programmes (e.g. helping to do desktop research), review and put up submissions.

· Draft simple emails and submissions.

· Draft and dress up powerpoint slides.


Meeting Coordination

· Set up and schedule meetings, including liaising with stakeholders to confirm availability and polling for suitable dates.

· Prepare meeting agendas, distribute materials, and ensure all logistics are in place.

· Attend meetings, take accurate minutes, and circulate them to relevant parties in a timely manner.

Any other duties as may be agreed and assigned.


Working Arrangement:

Working Hours: Mondays to Fridays (office hours)

Location: Clarke Quay

Salary: Monthly Rated

Contract Duration: 3-6 Months


Job Requirements:

· Excellent written and verbal communication skills.

· Strong organisational and multitasking abilities with attention to detail.

· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and experienced in using scheduling and documentation tools.

· Experience in procurement processes and vendor management is a plus.
