Roles & Responsibilities

1. Fundraising Administration

  • Fundraising Campaign Coordination:
    • Assist in planning and executing fundraising campaigns
    • Coordinate marketing materials and outreach efforts for fundraising initiatives.
  • Donor Management:
    • Maintain and update the donor database, ensuring accurate records of donor details, contributions, and communication history.
    • Prepare and send donor acknowledgment letters, receipts, and appreciation notes.
  • Sponsorship and Grant Applications:
    • Research and compile information on potential sponsors and grant opportunities.
    • Assist in drafting sponsorship proposals and grant applications.
    • Maintain a sponsorship database and follow up with sponsors regarding deliverables.

2. Project Administration

  • Logistics & Operations:
    • Coordinate logistics for projects, including procurement of materials, scheduling activities, and liaising with vendors.
    • Maintain records and documentation related to sustainability initiatives.
  • Stakeholder & Volunteer Coordination:
    • Assist in recruiting, onboarding, and scheduling volunteers for projects.
    • Provide administrative support for partnerships and collaborations with other organizations.
  • Data Management & Reporting:
    • Track project progress and compile reports on impact and sustainability efforts.
    • Ensure proper documentation and filing of reports, invoices, and project records.

3. General Administrative Support

  • Communication & Documentation:
    • Prepare meeting agendas, take minutes, and follow up on action items for fundraising and project-related meetings.
    • Draft official correspondence, emails, and reports as needed.
  • Procurement & Inventory Management:
    • Oversee the purchase and distribution of materials needed for fundraising, projects, and events.
    • Maintain an inventory of promotional items, event materials, and office supplies.
  • Budgeting & Expense Tracking:
    • Assist in preparing and monitoring budgets for fundraising campaigns and projects.
    • Process invoices and track expenditures to ensure adherence to budget constraints.
  • Content Creation
    • Write articles post-event for our website blog

Required Skills & Qualifications

  • Strong administrative and organizational skills.
  • Excellent attention to detail and ability to multitask.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database management.
  • Strong written and verbal communication skills.
  • Experience in event coordination or fundraising administration preferred.
  • Ability to work independently and as part of a team.
