Job Description: We are seeking a detail-oriented and organized Administrative Assistant to join our team. In this role, you will provide crucial support to our administrative operations, ensuring smooth day-to-day functioning within the company. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to multitask effectively.

Responsibilities:

  • Manage incoming calls and correspondence, directing inquiries to the appropriate departments
  • Maintain and update filing systems, both electronic and physical
  • Assist in scheduling appointments and meetings, coordinating calendars as needed
  • Prepare and distribute memos, letters, and other documents
  • Process and distribute incoming and outgoing mail
  • Perform general clerical duties, such as photocopying, scanning, and faxing
  • Collaborate with other administrative staff to ensure efficient workflow
  • Handle sensitive and confidential information with discretion and professionalism

Requirements:

  • Proven experience as an administrative assistant or relevant role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time management skills
  • Excellent verbal and written communication abilities
  • Ability to prioritize tasks and manage multiple projects simultaneously
  • Attention to detail and accuracy in all work tasks
  • Ability to work independently with minimal supervision
  • Positive attitude and willingness to learn and adapt in a fast-paced environment
  • Experience in the insurance industry is a plus
