Our client, in sea freight shipping services, is looking for a Group Affairs Officer / Executive. The main job scope of this role is to handle **HR and Admin Matters.

HR Matters

  • Handling company Insurances matters (Staff Insurance, Travel Insurance & Office Insurance).
  • Monitoring of Punctuality of Staff and submission of monthly punctuality reports (currently not required due to COVID19 situation and different work arrangements since then).
  • Assist on SingTel matters.
  • Getting signatures from Directors/ Managers for important documents/ resolutions.
  • Arranging yearly CNY parties, monthly birthday celebrations or other events like Christmas celebration (Secret Santa) as well as yearly health screenings for the company.
  • Organising adhoc annual events & orders (e.g. Christmas party/Gift Exchange, 7th Month Prayers, Calendar Orders, Mooncake orders, CNY orders for customers, etc.)

Admin Matters

  • Handling and preparing credit card claims and personal claims for Directors. Handling Corporate Credit Card Authorizations, Limit Change, Cancellation, Renewal, Fee Waivers, New Applications, etc.
  • Assist in corporate secretarial matters.
  • Updating the Office Directory for all our companies regionally.
  • Handling Office General Administration and Maintenance matters (e.g. Couriers, vendors, cleaning and aircon contractors, daily letter distribution, Ordering of DG stickers, Water Dispenser Filter Replacement, General Office Cleanliness, Carpark Issues, Daily HR Announcements (currently not required due to COVID situation and different work arrangements)
  • Apportioning monthly administration charges (e.g.
Canon Bills, Ethoz/ Hitachi Leasing for Photocopiers, Pantry Charges & others).

  • Handling company's Computer & Golfer's Insurance.
  • Handling files for all contracts/agreements for procurement fee/ agency agreement & others.
  • Filing and handling all issues related to Office and Director's Cars.
  • Filing and handling all Tenancy Agreements (Rental), HQ Admin Contracts, IT Recovery Fee Contracts, Stamp Duty.
  • Filing of Audited Report Accounts (1 copy of original).

  • Strong team spirit and a good team player.

Working hours:
Working Hours: 9am - 6pm (Monday - Friday).
