We are hiring a legal secretary based in Singapore to assist lawyers and paralegals in the Asia Pacific Law Department.

The legal secretary will be expected to provide a full spectrum of secretarial and administrative support to the legal team

Key responsibilities include:

  • Organizing and scheduling meetings and appointments for the team, including coordinating with other departments at Marriott in connection with scheduling and other administrative matters.
  • Assisting the team with organizing documents for deal signing and closings, such as indexing, printing, simple document review, attending signings and other preexecution / postclosing formalities.
  • Document amendments.
  • Preparing closing binders for legal documents.
  • Maintaining electronic and hard copy filing system, and other document management matters.
  • Coordinating with law firms and other third parties for settlement of bill and invoices.
  • Travel arrangements, including flight, hotel and visas.
  • Maintaining contact lists and office supplies for the team.
  • Preparation of travel expenses for the team.
  • Establishing, maintaining and updating databases and webbased platforms used by the legal team.
  • Preparing presentation slides.
The role may also include some travel (very occasional).

CANDIDATE PROFILE

Education and Experience

  • Bachelor's degree (or equivalent).
  • Approximately 3+ years of relevant work experience.

Skills and Competencies

  • Strong organizational and time management skills.
  • Strong project and case management skills.
  • Strong user skills across common platforms (e.g. Microsoft Office, Imanage, Excel and Law Manager).
  • Strong interpersonal skills and an ability to collaborate well with others on the team and across different teams.
  • Strong and professional communication skills (written/verbal).
  • Strong attention to detail.
  • Demonstrates initiative and leadership in generating new concepts, approaches and methods.
  • Ability to perform well under pressure with mínimal supervision, while producing a high volume of accurate work.
  • Diligent, dependable, enthusiastic and willing to learn.
  • Experience in preparing presentation materials (e.g. PowerPoint presentations and videos).
  • Reliable, ability to maintain tact and diplomacy, trust and confidentiality
  • Strong attention to detail and ability to produce high quality / accurate work
  • Proactive and positive attitude
