We are in search of an Assistant Manager, Administrative Support to join our team.
The Assistant Manager's responsibilities include:
- Procurement, Accounting, and Reporting
- Manage procurement, reimbursement, and accounting activities.
- Provide timely advice on queries related to procurement and budget allocation.
- Plan office-related expenses budget ensuring compliance with policies.
- Maintain accurate records and conduct due diligence in expenditure accounting.
- Facilitate prompt processing of expense claims.
- Generate required monthly, quarterly, and yearly reports.
- Monitor the status of purchase orders to keep them updated.
- Ensure purchases adhere to procurement policies for cost-effectiveness.
- Conduct due diligence on procurement activities for optimal value.
Other General Administration responsibilities:
- Apply existing policies and procedures to synchronize processes and reduce disruptions.
- Design and implement new procedures and workflows for NTU I&E.
- Track deadlines and assist the Reporting Officer in administrative matters.
- Develop SOPs for all responsibilities to enhance efficiency.
- Offer administrative support including managing claims and approvals.
- Coordinate official travel arrangements and logistical support for meetings.
- Handle ad-hoc initiatives and assignments from the Office.
Requirements:
- Preferably a degree in Business Administration or related field.
- Minimum 5 years of administrative work experience.
- Prior experience in higher education or the education sector is a plus.
- Proficient in MS Office Applications.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a team.
- Strong planning, organizational, and problem-solving skills.
- Detail-oriented, meticulous, and able to multitask effectively.
Compensation will be based on the candidate's level of experience.
