Description:

We are seeking an experienced receptionist/administrative assistant who will be responsible for greeting clients and visitors.

You will be in charge of contacting employees regarding visitors, answering phones and taking messages, managing couriers, sorting and distributing mail and liaise with service providers.

The role reports to the Office Service Coordinator in Singapore.

Responsibilities:

  • Perform general receptionist duties, e.g., answering, screening, and directing incoming calls to the appropriate personnel. Taking down messages as and when needed.
  • Greet, attend, and receive guests at the reception.
  • Manage and coordinate meeting room calendar.
  • Assist with meeting room bookings and arrange refreshments where necessary.
  • Assist with meeting room/video conference setup with all necessary stationery and materials and maintain cleanliness of meeting rooms and reception area.
  • Arrange postal services (local and international), sorting of incoming mails and posting of outgoing mails for Reed Smith in alliance with Resource Law.
  • Collection, coordinating and sorting incoming and outgoing mails/documents.
  • Purchase and replenishment of stationeries and pantry
  • Maintenance of office equipment and inventory
  • Prepare and submit invoices and expenses via Check Request
  • Preparation of Reception Duty Roster and updating of Office Directory & Phone List.
  • Attend to requests on building/office matters and assist with maintenance requests and requirements.
  • Manage ad hoc admin matters and duties as assigne

Key Skills, Attributes and Experience:

  • Minimum 2year experience of similar experiences working as a receptionist cum admin assistant.
  • Experience of working within a demanding fast paced environment involving high levels of customer care.
  • Working knowledge of office equipment, such as printers and scanners.
  • Good time management skills and the ability to prioritize work
  • Strong customer service, organisation and administration skills.
  • Attention to detail and problemsolving skills
  • Strong organizational skills with the ability to multitask
  • Pleasant disposition and a team player
  • Professional telephone manners together with excellent verbal and written communication skills
