The Office Administrator is primarily responsible for the efficient and smooth functioning of the EDC Singapore office (the "branch" by supporting general business operations.The Office Administrator provides support to the different teams of the Branch through administrative tasks and acts as a receptionist when required.
The Office Administrator assists in the arrangement of business travels and logistics as well as coordinating of calendars and meetings.
The Office Administrator liaises with the headquarters on administrative matters and updates in processes. The Office Administrator is also in charge of the tracking and reporting of expenses on behalf of the branch.Discipline Summary
- Supports general business operations by providing various administrative support activities as a generalist or in a combination of Disciplines in the Administrative Services Function
- Provides administrative support to Director and/or nonexecutive employees or groups in the organization
- Arranges business travel, coordinates meeting arrangements, and/or tracks expenses
- Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of branch's workflows to which the support is being provided
Key Responsibilities
- Provides administrative support to the team and the leadership team including, but not limited to handling correspondence, managing and coordinating calendar and meeting agendas, tracking time and attendance, managing workflow, routing information, preparing documents and presentations, arranging logistics, processing inquiries, administering budgets
- Provides file, document or information storage and retrieval services including classification, organization and electronic data/Information entry or sourcing
- Manage travel scheduling and bookings
- Administers expenses and tracking as well as managing the Purchasing Order
- Manages and coordinates Leadership meetings (including the development of agendas and materials) & minutes (Weekly, Monthly, Townhalls, etc.)
- Manages group attendance in PeopleSoft
- Manages group SharePoint & group related Livewire requests when needed
- Prepares communications and meeting materials, including PowerPoint presentations
- Coordinates group moves with Facilities
- Solves administrative problems and initiates improvements to administrative standards, controls and processes, process improvement
- Provides support on EDC events, both internal and external
- Provides support to the translation team, including coordination of translation requests, and vendor relationship management
